Terms of Service
1. About these terms
These Terms of Service ("Terms") govern your access to and use of LeagueBot, a service provided by Datateru Ltd, registered in England and Wales (company number 17212478), registered office 112 Margetts Road, Bedford, MK42 8DU, United Kingdom ("we", "us", "our").
These Terms, together with our Privacy Policy and our Data Processing Agreement, form the whole agreement between us and the club or organisation subscribing to LeagueBot ("you", "your").
By subscribing to or using LeagueBot, you agree to these Terms. If you do not agree, do not use the service.
2. The service
LeagueBot provides a WhatsApp-based league management platform that enables clubs to run box leagues and tournaments. Key features include:
- →Ace: an AI WhatsApp assistant that accepts match result submissions from players along with other league-related requests (matches left to play, league deadlines, standings).
- →Automated league table updates, promotion, and relegation.
- →A public standings page for each club.
- →An admin dashboard for league configuration and account management.
We may modify, improve or discontinue parts of the service. Where a change materially reduces functionality you rely on, we will give you at least 30 days' notice by email, and you may cancel without penalty before it takes effect.
3. Accounts and eligibility
You must be at least 18 years old and act as an authorised representative of your club or organisation to create an account.
You are responsible for maintaining the confidentiality of your account credentials and for all activity under your account. Tell us promptly if you believe an account has been compromised.
Your plan determines how many administrator accounts you may create. Administrator credentials are personal to the person they are issued to and must not be shared with anyone, inside or outside your club. If someone else needs access, create an account for them within your plan's limit.
4. Your players: your responsibilities
LeagueBot works by processing your players' personal data on your instructions. In data protection terms you are the controller and we are your processor, and the division of responsibility set out in our Data Processing Agreement applies. As controller, you are responsible for the following, and you warrant that you will do each of them:
- →Lawful basis and notice: you have a lawful basis for adding each player, and you have told them how their data will be used and that LeagueBot processes it on your behalf.
- →Public standings: you have told players that their display name and results appear on a publicly accessible page that search engines can index, before you add them.
- →Junior players: where a player is under 18, you have obtained consent from a parent or guardian where one is required, and you have decided whether that league's standings should identify children by name. We recommend usernames or initials for junior leagues.
- →Accuracy: the player details you enter are accurate and kept up to date, and you remove players who leave your club.
- →WhatsApp policy: your players have agreed to receive messages from your Ace number, in line with Meta's WhatsApp Business Messaging Policy.
You must not use LeagueBot to process special category data (such as health information) about your players. The service is not designed for it.
5. Free trial
New clubs may start with a 30-day free trial. Payment details are collected at signup but no charge is made during the trial.
Unless you cancel before the trial ends, your subscription converts automatically to the paid plan you selected and the first payment is taken on the day the trial expires. We will remind you by email before that happens.
Trials are limited to one per club. We may withdraw or shorten a trial where we reasonably believe it is being abused.
6. Subscriptions and payment
LeagueBot is offered on a monthly or annual subscription. Current plans, billed monthly:
- →LeagueBot One: £20/month. One sport, 1 active league, 1 active tournament, up to 50 players, 1 admin.
- →LeagueBot Club: £50/month. One sport, unlimited active leagues, tournaments and players, up to 3 admins.
- →LeagueBot Pro: £90/month. All sports, unlimited active leagues, tournaments and players, up to 10 admins, dedicated sport admins, priority support, and custom branding.
Annual billing is available at a discount, charged as a single payment in advance for twelve months: £180, £480 and £900 respectively. Current prices are always shown on our pricing page.
All prices are in GBP. Datateru Ltd is not currently registered for VAT, so no VAT is charged. If we become VAT registered, we will give you at least 30 days' notice before VAT is added to your invoices, and you may cancel before that change takes effect.
Payments are processed by Stripe. By subscribing, you authorise recurring charges on your chosen billing cycle. Subscriptions renew automatically until cancelled.
We may change our prices. We will give you at least 30 days' notice by email, and the new price applies from your next renewal. If you do not accept it, you may cancel before it takes effect. We will not change the price of an annual term you have already paid for.
If a payment fails, we will retry and contact you. We may suspend access to the service if an invoice remains unpaid 14 days after it fell due, and may terminate the subscription if it remains unpaid after a further 14 days.
Fair use. “Unlimited” leagues and players means we apply no numerical cap, not that capacity is infinite. We may contact you to agree reasonable limits where a single account's usage is materially out of proportion to comparable clubs, or is degrading service for others. We will always talk to you before acting.
7. Cancellation and refunds
You may cancel at any time from your account dashboard. Cancellation takes effect at the end of the current billing period (the end of the month for monthly plans, or the end of the twelve-month term for annual plans), and you keep access until then.
We do not refund partial billing periods. For annual plans this means cancelling in month two does not refund the remaining ten months, so please choose the billing cycle that suits you.
If you are a consumer rather than a business (an individual coach subscribing in a personal capacity, say), you can cancel within 14 days of subscribing and get your money back. This is a statutory right under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013. In practice the free trial usually means you will not have paid anything by that point.
Your access starts as soon as you subscribe rather than after those 14 days, which in law means you are asking us to begin early. The only consequence is this: if you have already been charged and then cancel within the 14 days, we refund what you paid less a proportionate amount for the days you had access. Nothing in these Terms affects your statutory rights.
On termination for any reason, your data is deleted in line with the retention periods in our Privacy Policy. Ask us before you cancel if you want an export of your league data and we will provide one.
8. Acceptable use
You agree not to:
- →Use the service for any unlawful purpose.
- →Attempt to reverse-engineer, scrape, or exploit the platform.
- →Use the service to send spam, abuse, or unsolicited messages.
- →Impersonate other users or submit false match results.
- →Circumvent any access controls or rate limits.
- →Add a player's phone number without the right to do so.
- →Resell or provide the service to a third party that is not part of your club or organisation, without our written agreement.
We may suspend or terminate accounts that breach these rules, without refund.
9. Data protection
Our collection and use of personal data is described in our Privacy Policy. Where we process your players' data on your behalf, our Data Processing Agreement applies and forms part of these Terms. It satisfies the requirement in Article 28 of the UK GDPR for a written contract between controller and processor; you do not need to sign a separate agreement, though we will sign a copy on request.
Each party will comply with its obligations under applicable data protection law.
10. Third-party platforms
LeagueBot depends on services we do not control, in particular WhatsApp, operated by Meta, and our telephony and payment providers.
Those providers set their own policies and may change them, impose limits, or restrict or disable a phone number or account. We will do what we reasonably can to restore service or provide an alternative, but we are not liable for interruption, restriction or loss of functionality caused by a third-party platform's own acts, outages or policy decisions.
Your players' use of WhatsApp is governed by their agreement with Meta, not by these Terms.
11. Intellectual property
LeagueBot, Ace, and all associated branding are owned by Datateru Ltd. These Terms do not grant you any rights to our intellectual property beyond the right to use the service.
You retain ownership of the data you provide (player details and results). You grant us a non-exclusive licence to host and process it for as long as needed to provide the service, and to keep backups for the retention periods in our Privacy Policy.
If you send us feedback or suggestions, we may use them to improve the service without obligation to you.
12. Support
Support is provided by email at support@datateru.com during UK business hours, Monday to Friday, excluding public holidays.
We aim to respond to all customers within two business days. “Priority support” on the Pro plan means we aim to respond within one business day and place Pro tickets ahead of the queue.
These are targets, not guarantees, and we do not offer a service level agreement or service credits.
13. Disclaimers
The service is provided "as is" and "as available." We do not warrant that the service will be uninterrupted, error-free, or meet your specific requirements.
Ace is an AI system and may occasionally misinterpret a message. As the subscriber, you are responsible for reviewing standings and correcting any errors from the admin dashboard. Your players have no access to that dashboard, so they should raise anything that looks wrong with you rather than with us. Ace can also pass a disputed result to you on their behalf. Where a result decides a competition or a prize, confirm it in the dashboard rather than relying on Ace alone.
LeagueBot is a league administration tool. It does not supervise play, and we are not responsible for how your club runs its competitions or for disputes between your players.
14. Limitation of liability
Nothing in these Terms limits or excludes our liability for: death or personal injury caused by our negligence; fraud or fraudulent misrepresentation; any other liability that cannot lawfully be limited or excluded; or, where you are a consumer, your statutory rights.
Subject to that, we are not liable for indirect, incidental, special or consequential loss, nor for loss of profit, revenue, goodwill, business opportunity or anticipated savings, arising from your use of the service.
Subject to the first paragraph, our total aggregate liability arising out of or in connection with these Terms in any 12-month period shall not exceed the total subscription fees you paid to us in that period.
You are responsible for keeping your own records of results that matter to you. Our liability for loss or corruption of your data is limited as set out above.
15. Indemnity
You will indemnify us against any claim, loss or cost (including reasonable legal fees) arising from your breach of these Terms, and in particular from a claim by one of your players that you added or used their personal data without the right to do so, or failed to give them the information required by data protection law.
This does not apply to the extent the claim arises from our own breach of these Terms or of our obligations as your processor.
16. Suspension and termination
You may terminate at any time by cancelling your subscription, as described above.
We may suspend or terminate your account: if you materially breach these Terms and do not fix it within 14 days of us asking; immediately, where the breach is not capable of being fixed or where continuing would expose us or your players to legal risk; or for non-payment as described above.
We may also terminate for convenience by giving you 60 days' notice, in which case we will refund any fees you have paid for a period after termination.
On termination your access ends and your data is deleted in line with our Privacy Policy. Clauses that by their nature should survive termination (intellectual property, limitation of liability, indemnity and governing law) do so.
17. Changes to these terms
We may update these Terms from time to time. We will notify active subscribers by email at least 30 days before material changes take effect. If you do not accept a change, you may cancel before it takes effect; continued use after that date constitutes acceptance of the revised Terms.
18. General
- →Severability: if any provision of these Terms is found to be unenforceable, the rest remains in force and the offending provision is applied to the fullest extent permitted.
- →Force majeure: neither party is liable for failure to perform caused by events beyond its reasonable control, including internet or third-party platform outages, provided it takes reasonable steps to mitigate.
- →Assignment: you may not transfer your rights under these Terms without our written consent. We may assign or transfer these Terms to a successor in connection with a merger, acquisition or sale of assets, on notice to you.
- →Entire agreement: these Terms, with the Privacy Policy and the Data Processing Agreement, form the entire agreement between us and supersede any prior discussions. Neither party relies on any statement not set out in them, though nothing excludes liability for fraudulent misrepresentation.
- →No waiver: a delay in enforcing a right is not a waiver of it.
- →Third parties: a person who is not a party to these Terms has no right to enforce any of its provisions under the Contracts (Rights of Third Parties) Act 1999. This does not affect any right or remedy your players have under data protection law.
- →Notices: we will send notices to the email address on your account; you should send notices to the address below. It is your responsibility to keep your account email current.
19. Governing law
These Terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
If you are a consumer resident elsewhere in the UK, you may bring proceedings in your own jurisdiction, and you keep the benefit of any mandatory consumer protections of the law where you live.
